01. Introduction
Welcome to Axis PG ("we," "our," "us," or "the App"). We are managed by Vipras Tech Solutions. We are committed to protecting the privacy and security of all data processed through our application. This policy explains how the App enables authorized hostel administrators to collect, process, and securely manage resident information on behalf of their organization to ensure a safe living environment.
What This App Does:
- Enables hostel administrators to register new residents and manage occupancy records securely.
- Provides residents with secure, face-recognition access to their own profile, billing history, and maintenance complaints.
- Displays room and billing data retrieved from the hostel’s private management systems.
🛡️ The Axis "Zero-Cache" Policy
To ensure maximum privacy, Axis PG employs a strict Physical Deletion Protocol: All sensitive identity images (Aadhaar, Profile, and Complaints) are physically deleted from your mobile device's cache memory immediately after a successful upload to our secure backend. No biometric or sensitive image data remains permanently on your phone.
02. Information We Collect
The App enables administrators to process the following categories of data solely for identity verification and accommodation management:
2.1 Resident Information
- Full Name: Required for verified identification.
- Aadhaar Number & Images: Government identification used solely for mandatory verification and KYC requirements.
- Mobile & Email: Used for account verification, billing alerts, and emergency contact.
- Stay Details: Room number, Bed assignment, and opt-in choices for services like food.
2.2 Information We Do NOT Collect
- Device Identifiers: We do not track IMEI or device serial numbers.
- Global GPS: We do not track your real-time location outside of check-in events.
- Private Communications: We do not access SMS, Call Logs, or Contacts.
- Third-Party Data: No integration with social media or advertising platforms.
03. Biometric Data Protection
Facial recognition technology is used strictly for authentication and premises security:
Registration Phase
1 photograph is captured to train the secure recognition model. This is uploaded and then deleted from the device cache immediately.
Verification Phase
A single image is captured during login for matching. It is purged from the device instantly after the handshake is complete.
Face Embeddings
Facial data is stored as Mathematical Embeddings. This data is encrypted, non-reversible, and cannot be used to reconstruct a person's actual face image. All facial processing is handled through our secure biometric authentication engine to ensure your data is processed privately and securely.
04. How We Use Your Information
Premises Security
Facial recognition is used at the PG main entrance to identify Authorized Residents and detect Unauthorized or Unidentified persons, ensuring the safety of all inhabitants.
Billing & Stay
Managing rent invoices, deposits, and room assignments to ensure accurate financial records of your stay.
Maintenance
Processing issues reported by residents through the complaint module for timely resolution.
Legal Compliance
Meeting local law enforcement requirements for maintaining precise resident occupancy and premises entry logs.
05. Data Storage & Retention
3.1 Local Storage (Device)
We use FlutterSecureStorage with AES-256 encryption to store only temporary session tokens (24-hour expiration) and basic profile data for offline viewing. Sensitive images are never stored locally.
3.2 Remote Storage
- Encryption at Rest: All database records are encrypted using AES-256.
- Encryption in Transit: 100% of data transmission uses HTTPS/SSL/TLS protocols.
- Access Control: Role-Based Access Control (RBAC) ensures only your hostel management can see relevant data.
3.3 Data Retention Policy
- Active Stay: Data is maintained throughout the duration of your residency.
- Post-Checkout: Biometric embeddings and stay history are archived for 12 months for legal compliance, after which they are permanently purged.
06. Android Permissions Used
Camera
Used to capture face data for login and photos of Aadhaar cards or maintenance issues.
Storage
Required to allow you to select and upload identity documents during registration.
Internet
Used to sync your records, billing, and complaints with the secure central server.
Notifications
Used to send status updates regarding rent, complaints, and security alerts.
07. Your Rights & Choices
You have fundamental rights regarding your data:
- Access & Correction: View and update your profile details via the app settings.
- Right to Deletion: Request the deletion of your account and face records via management after vacating.
- Withdraw Consent: You can revoke camera or notification permissions anytime in your device settings.
